New Employee Provisioning

One of the most important days for an employee is their first.  Knowing that they have access to everything they need to be successful allows them the comfort of having made a positive career decision.

In turn, one of the most frustrating days for an IT person is having to onboard a new employee with limited information from HR or management.

Ensuring that the right people get access to the right business resources at the right time, a sound employee provisioning process promotes productivity and reduces organizational risk.

The process of provisioning starts when the employee begins his/her career at the organization.  It is imperative that an employee starts on day one with all the resources needed to be both productive and successful.  Delays mean loss of productivity as well as frustration for the new employee….not a good way to start off the employee-organization relationship.

The provisioning process must account for if an employee moves to another division within the organization.  Sound provisioning processes can remove or add access to new business systems that allows for immediate and continued productivity while also reducing risk of allowing inappropriate access to data.  The final part of the provisioning process occurs when an employee leaves the organization altogether.   In this instance you would want to deprovision the employee from all business systems thus severing their access and reducing risk to the organization while still preserving information still needed safely and securely.

One would think that the provisioning process would be well-defined in most organizations, but you might be surprised at some of the realities out there.  Many firms have either created their own in house scripting leaving big vulnerabilities if that developer leaves, or worse yet, many are still provisioning manually.  As you would expect the latter is even more inefficient and prone to errors.

So the question is do your employees have the right access to the right business systems at the right time, and if not, then the responsibility is usually on IT, which have a lot of other pressing things to be concerned with at the organization.
